What columns are included?

The template includes Employee, Role, Credential, License Number, Issuing Authority, Issue Date, Expiration Date, Status, Document Received, and Notes. These columns keep the holder, evidence context, and renewal date in the same row.

  • Use ISO dates in yyyy-mm-dd format for consistent sorting and import.
  • Leave Expiration Date blank for credentials that do not expire.
  • Use Document Received to distinguish a typed record from evidence on file.

How should the spreadsheet be maintained?

Assign one owner, use consistent status values, verify dates against the source document or issuing authority, and review missing and upcoming records on a regular schedule. Store credential documents in an access-controlled location rather than embedding sensitive files in the workbook.

When is it time to move beyond a spreadsheet?

A spreadsheet becomes harder to control when multiple people edit it, documents live elsewhere, reminder follow-up is manual, or renewal submissions need review. At that point, importing the roster into a system can keep records, evidence, status, and workflow connected.
