QualiRoster vs Expiration Reminder: compare the roster and renewal workflow

QualiRoster focuses on workforce credentials for trade teams. Expiration Reminder publishes a broader expiration-management offering. The pricing units differ

QualiRoster lists monthly plans at $39 for 25 workers, $79 for 100 and $149 for 300. Each worker can have multiple credential records. Expiration Reminder lists Starter at $49 for 150 expiration items, Professional at $99 for 600, Business at $179 for 1,500 and Enterprise at $399 for 2,500.

These are published monthly list prices checked September 20, 2026. Features, tax, add-ons and annual billing can change the final total. A worker is not equivalent to an expiration item, so these tiers are not direct capacity matches.

Count your own workload before comparing tiers

List the workers you need to manage and the number of separate credentials or other items you intend to track. For example, 20 workers with six records each produces 120 records. This fictional arithmetic example helps compare units; it is not a claim about another product’s counting rules.

Include inactive people who remain in the QualiRoster roster: non-archived people count toward the plan limit. Ask each vendor how it treats archived records, multiple locations and different item types. Compare the confirmed scope at checkout rather than assuming the cheapest visible tier fits.

Check product scope against your requirements

Expiration Reminder’s published offering includes email reminders, evidence storage, a mobile app and employee self-service. Its pricing page also describes higher-tier capabilities such as escalation and onboarding. Confirm the exact tier for any capability that matters to your team.

QualiRoster provides CSV import, role requirements, document collection, email reminders, renewal submissions, human review and CSV compliance summaries. Its paid plans primarily differ by worker capacity and AI extraction allowance. It does not offer native mobile apps or general HR/payroll administration.

Use one renewal cycle as the buying test

Test the same three workers and five credentials in each product. Include one unknown date and one explicitly non-expiring record. Ask a colleague to identify the next action, request a document, review the submission and obtain a summary without your help.

  • Does the import preserve your date meanings and worker identity?
  • Can a reviewer find the evidence behind an accepted record?
  • What happens when a requested document is wrong or unreadable?
  • Can the team inspect reminder attempts and failures?
  • Can you export the summary you actually need?

Choose based on observed fit

A small trade team may value a worker-centered roster and a short collection-to-review process. A team with broader expiration categories or additional integration requirements should investigate those requirements directly with each vendor. Neither a price comparison nor a demo can establish fit for every organization.

Record the time and corrections for your pilot, the actual required plan and any capability that is still unverified. QualiRoster offers a 14-day trial without a card. Review the security, data and cancellation process before moving a full roster.
