Credential expiration reminders that lead to a completed renewal

Credential expiration reminders should do more than send an alert. QualiRoster identifies expiring-soon and overdue records, sends checkpoint reminders, gives the worker a secure upload path, and keeps the submission pending until an authorized reviewer accepts it.

How do credential expiration reminders work?

QualiRoster compares each applicable expiration date with the organization’s current date, places the record in an urgency state, and sends reminders at configured checkpoints. Default checkpoints are 90, 60, 30, 14, 7, and 1 day before expiration.

Duplicate-send controls keep the same checkpoint from being emailed repeatedly, and organization timezone settings make daily processing predictable.

What happens after a worker receives a reminder?

The worker opens a secure, time-limited link and uploads the renewed document. QualiRoster can extract visible fields for review when extraction is configured, but it does not silently finalize them. An authorized user confirms, corrects, approves, or rejects the submission.

  • No employee account is required for the secure renewal link.
  • The original credential stays unchanged while review is pending.
  • The accepted renewal becomes part of the credential history.

How are overdue credentials handled?

Once the recorded expiration date passes, the credential appears as expired rather than remaining buried in a calendar. Managers can distinguish overdue work from upcoming renewals and missing documents, then follow up from the same roster.
