How to track employee license expiration dates and renewals

To track employee license expirations, record the expiration date from an authoritative source, connect it to the license holder and issuer, calculate urgency consistently, assign a renewal owner, send reminders before the deadline, and verify the renewed evidence before changing the record.

1. Record the license, holder, and issuing authority

Create one record that connects the employee to the license type, number, issuer, jurisdiction, document, issue date, and expiration date. The issuing authority matters because licensing and renewal rules can differ by jurisdiction.

2. Verify the expiration date at the source

Use the license document or the relevant authority’s official lookup or guidance. Record what your team verified and avoid calculating a date from an assumed renewal period when the authority already provides the actual expiration date.

3. Define urgency windows before you need them

Choose reminder checkpoints that give the worker and reviewer enough time to complete the renewal. QualiRoster’s default schedule uses 90, 60, 30, 14, 7, and 1 day before expiration, while the dashboard separates upcoming records from those already expired.

4. Assign the next action, not just a notification

Each expiring record should have a clear owner and next step: confirm renewal requirements, contact the holder, collect the new document, or review a submitted update. A reminder without ownership can still be ignored.

5. Review the renewal before updating the record

Keep the current record intact while the renewal is pending. Confirm the new number, authority, issue date, expiration date, and evidence, then approve or reject the submission. This closes the loop and preserves an explainable history.
