The short answer

There is no single best tool; the right one depends on what you track and who does the follow-up. For a small trade team, CertFence and ComplyNestly publish the lowest entry prices. QualiRoster fits teams that want worker-based pricing with role requirements, worker upload links and a review step. LicenseReq also covers subcontractor licenses, insurance and bonds. Certemy is the option on this list that sells primary-source verification.

Expiration Reminder and Remindax are broader expiration trackers that count tracked items and serve many industries. If your main problem is subcontractor insurance certificates rather than your own employees, look at subcontractor compliance tools instead; one example is covered below.

Comparison table

The table uses each vendor’s own wording and published monthly list prices. The products count different things, such as workers, employees, records or tracked items, so the lowest price is not automatically the cheapest for your roster.

“Not stated” means we did not find the capability on the vendor pages we read, not that the product lacks it. Prices exclude taxes and add-ons, and vendors change them; confirm the current offer on the vendor’s site before buying.

Three questions that narrow the list

Most shortlists shrink to two tools once you answer these questions with your own numbers. Write down your worker count and the number of separate licenses and certifications you track before you open a pricing page.

• What does the price count? Twenty workers with six credentials each is 20 workers but 120 records or items. Worker-based and employee-based plans stay flat as records grow; item-based plans rise with them.
• Who uploads the renewed document? If the office collects every card by email, look for worker upload links and a review step so a received file is not mistaken for an approved record.
• Do you need the tool to check a state board? Tracking an expiration date is different from confirming a license is active. Only one tool in this table sells issuing-authority verification.

Tools built around trade teams

Four products describe themselves in terms of trade or employee credentials rather than general expiration dates. They differ mainly in pricing unit and in how much of the renewal follow-up they handle.

Broader expiration trackers and enterprise platforms

Expiration Reminder and Remindax track many kinds of expiring items, from certifications to contracts, and price by the number of items. Certemy is positioned for larger organizations and adds paid primary-source verification.

• Expiration Reminder: unlimited SMS and email reminders, an employee self-service portal, native iOS and Android apps and automatic scanning of document expiration dates. Higher tiers add onboarding features.
• Remindax: a free plan for 15 items, email reminders on every plan and SMS or WhatsApp from a monthly credit allowance, with iOS and Android apps.
• Certemy: per-user pricing with verification checks that confirm a credential is “active, up-to-date, and free of sanctions,” billed per check. Sign-up is through sales.

If your problem is subcontractors or dispatch

Tracking your own workers is a different job from collecting insurance certificates from subcontractors. Subcontractor tools such as TrackMyVendor focus on certificates of insurance, W-9s and vendor licenses; TrackMyVendor states that it re-checks licenses daily against state databases in eight states.

Field service platforms can also hold license documents. Housecall Pro’s HVAC licensing guide describes built-in tools to store documents, track expiration dates and set renewal reminders, but it does not say which plan includes them or whether they work per technician. If you already use a field service platform, check its credential features before adding a separate tool.

Where QualiRoster fits, and where it does not

QualiRoster is built for a trade office that manages 10 to 300 field workers and wants each renewal to move from reminder to worker upload to reviewed record. It is a weaker fit if you need a free plan, a native mobile app, state board verification or subcontractor insurance tracking.

Test two tools with the same five records

A demo shows the best case. A short test with your own data shows the handoffs. Use the same three workers and five credentials in each shortlisted product, including one unknown date and one credential that does not expire.

• Import the records and check that blank dates did not become “non-expiring.”
• Send one renewal request and complete it from a phone.
• Ask a colleague to find the evidence behind an accepted record without help.
• Export the summary you would hand to an auditor or customer.
