Excel or software

Excel vs credential tracking software: when should a trade team switch?

Keep a spreadsheet while one person can reliably maintain dates, evidence and follow-up. Consider a shared system when reminders, document requests and review work regularly fall between people. The useful comparison is the work required to keep each record trustworthy, not the appearance of the dashboard.

When a spreadsheet is enough

A spreadsheet can work well for a small, stable roster when one owner has time to review it on a schedule and each row points to evidence. There is no universal worker count that makes software necessary. Ten workers with many changing requirements can need more coordination than a larger, stable crew.

  • Use one row per worker and credential, with a stable worker reference.
  • Keep expiration dates, non-expiring records and unknown dates distinct.
  • Record the issuing authority and the location of the supporting document.
  • Assign an owner and a recurring review date; a colored cell alone does not send a reminder.

Where a spreadsheet creates extra work

The recurring cost is the handoff: someone checks the file, writes a message, finds the reply, reviews a document and updates the accepted record. Multiple editors or a shared inbox make it harder to tell whether the latest upload was reviewed. Count these steps for one upcoming renewal before choosing a tool.

  • How many records need follow-up this month?
  • How long does it take to find the evidence behind one date?
  • Who takes over when the spreadsheet owner is unavailable?
  • Can a second person explain why a row is marked complete?

Run a fair comparison with the same five records

Use three workers and five credentials in both approaches. Include one expired record, one upcoming deadline, one missing date, one explicitly non-expiring record and one future date. These are test categories, not a regulatory checklist. Use fictional records for an initial demonstration and authorized data for the real trial.

Ask a colleague to find what needs attention without your explanation. Then request one replacement document, review it and export a summary. Record time spent, corrections and missed handoffs. A faster initial import is useful, but the complete renewal cycle is the better test.

Compare cost without assuming time savings

QualiRoster paid plans start at $39 per month for up to 25 non-archived workers. A spreadsheet may already be included in your existing software budget. Compare subscription cost with your observed coordination work; do not assume an advertised saving will apply to your team.

For example, if your internal hour costs $30, a $39 monthly subscription is equivalent to 1.3 hours of that time. This is arithmetic, not a claim that QualiRoster saves 1.3 hours. Measure actual time in a pilot and include setup, training and review effort.

Use the published plan limits and trial FAQ to compare the allowance you will actually use.

Move in a controlled first batch

Make a backup of the spreadsheet and start with a small CSV. Review the mapped fields, distinguish unknown from non-expiring dates, and check the imported workers before adding the remaining roster. Preserve the original evidence until your team agrees the new process is complete.

  • Use YYYY-MM-DD dates in the workspace import.
  • Map an employee email when names are shared or ambiguous.
  • Review skipped rows and fix them in a new file.
  • Define role requirements before treating the summary as an assessment.

Frequently asked questions

Do I have to stop using Excel?

No. You can use a spreadsheet to prepare records and CSV summaries to share a snapshot. Decide which system owns the current record so edits do not drift between copies.
